How to Import a Spreadsheet Onto Unify

The first important part of onboarding is to import all apps and credentials used across your team members. Please, find below the steps to help you import your spreadsheet. Should you have any questions, please contact us at [email protected]

Estimated time for a spreadsheet of 50 apps: 15mn

Prepare the Spreadsheet:

  1. Import spreadsheet into google sheets.

  2. Ensure all rows are shown and that there are no hidden rows.

  3. Ensure all rows have a header.

  4. Create a filter and delete:

    1. All rows with a blank app name.

    2. All rows with a blank Username.

  5. Download the spreadsheet.

If your spreadsheet contains multiple tabs, each representing a different location, please be aware that the tabs will be imported into Unify one at a time.

Import Spreadsheet into Unify:

  1. Upload the spreadsheet into Unify by clicking on the down arrow next to the "+ New App button"​. Then click on "Import Logins".​

  2. Drag and drop your spreadsheet into the middle of the page. Spreadsheets do have to be in .XLSX (Microsoft) or .CSV format.

  3. If you have multiple sheets in the file, please select the sheet you want to use. Only one sheet at a time can be uploaded.​

  4. Identify Header Row by selecting the column that contains the headers (labels) of your columns. Then click the "Continue" button to the right.

  5. Match the columns of the spreadsheet to the listed mapping names. If there are more columns than there are listed on the screen, click the "+" button to add a "Notes" field. "Notes" fields can be added infinitely and will show up under the app's "Notes" tab after import.

  6. When matching is completed, click the "Continue" button.

Map Fields of Spreadsheet Data

  1. Before going further, click the save icon at the top. If the save fails, there is something wrong with the import data. Check your spreadsheet and confirm all usernames and password cells are filled in with some type of data. Use "changeme" or "na" or the like to denote passwords or usernames that will need changed.

  2. Map each line item to the Unify App by carefully following these steps:

    1. Clean up the names with the proper punctuation including capital letters at the start of each word.

    2. If the app name is a URL, rename the app to be a word and not a url.

    3. If the app has matched to “Custom App”, it means that the app has not automatically matched to an existing vendor, but it doesn't mean the vendor isn't in the catalog. Try different name variations.

      1. Blue Cross Blue Shield’s are all under BCBS

      2. All Delta Dentals are fully spelled out for both “Delta Dental” and the state

      3. Delta Dental Ins AKA Dental Dental CA GA PA

    4. A yellow dot in the URL column means that there is a discrepancy between the Spreadsheet URL and the Verified Unify URL. 90% of the time you will want to use the verified URL. Click on the URL to switch.

    5. If an app does not exist in the catalog:

      1. If the app DOES have a URL imported from the spreadsheet, test the URL to ensure that it is the login URL. If it is not, find the right login URL and copy and paste.

      2. If the app DOES NOT have a URL imported from the spreadsheet, open a new tab and try to find the best login URL for that app. Copy and paste it into the importer.

      3. If you are unable to locate a URL for an app, make note of it to discuss with the client at the onboarding and training meeting.

Add Location and Assign to Group:

  1. Add location to all (if applicable).

  2. Import.

  3. Once all apps have been imported, go back on the dashboard and add all the apps just imported into the appropriate group (if applicable).

If you have other tabs/locations, you can repeat the process.
